To keep overhead low and ensure consistency, you’ll want a layered structure that links AI, scheduling, and review systems directly to your Notion workspace and client cadence.
SYSTEM OVERVIEW (Follow-Up & Next Steps)
Capture Next Steps During the Checkpoint
Use a Notion template with a “Next Steps” toggle or table at the bottom of your Checkpoint page.
Include fields like:
- Action Item
- Assigned to (Client / Family / You)
- Priority (Low / Med / High)
- Due by
- Review Date (optional)
- Notes
Example line:
Schedule follow-up hearing test – Assigned to daughter – Due by July 20 – Review on Aug 1
Link to Your Central “Client Dashboard”
- Each client in your Notion database should have a master page.
- On that master page, embed a synced database view called “Open Follow-Ups” filtered by client.
- Include a checkbox for “Reviewed with Client.”
AI Audio Summary Integration
- Use an app like AudioPen, Otter.ai, or Whisper to:
- Record your session.
- Automatically generate a summary and action list.
- Copy summary into the Checkpoint page under a toggle called “AI-Generated Notes”.
- Compare AI summary to your written notes—if a to-do shows up in AI that you missed, capture it.
